1. Prepare, and then prepare some more
The secret to successful event coverage lies in the brief. A clear, detailed brief can make all the difference.
- What is the event about?
- Why is it happening?
- Who is speaking and what are their areas of expertise?
- What kind of output do you want – a formal report, a magazine article, a blog post?
The more detail you provide, the better the writer can anticipate key themes, understand the context and shape the story.
2. Understand the event structure
Ensure that your writer is familiar with the panellists’ backgrounds and expertise, the agenda, and likely discussion points. Structuring notes around pre-agreed topics or questions leads to greater clarity and cohesion when it’s time to write.
Knowing the themes to listen out for in advance will help ensure your writer is able to actively listen and organise their thoughts as discussions progress.
If the writer will be attending remotely, test the software, internet connection and sound quality in advance. If they will be attending in person, make sure your writer is positioned where they can clearly hear the panellists’ words and see their facial expressions, and will be able to follow both speakers’ and audience questions.
3. Focus on the key ideas/topics
We don’t even attempt to write everything down word-for-word. (Using recording/transcribing tools or software can help – but always get permission to record beforehand.) Instead, we focus on:
- Core messages and memorable quotes
- Anecdotes and surprising information
- Brief shorthand notes for key details
- Who said what
4. Bring the discussion to life
Great write-ups go beyond words – they capture the atmosphere and dynamics.
- Who is the most energetic and engaging panellist/speaker?
- How are the audience reacting?
- What’s the tone of the discussion?
Good writers pay attention to facial expressions and body language. These details bring the final deliverable to life.
5. Summarise in real time
During breaks or after the event, our writers will go back over their notes and begin to organise them. This helps to keep discussions fresh in the mind and make the writing of your final deliverable more succinct and focused.
They will use bullet points, headings and subheadings and time markers to help organise their notes. Doing this as you go along or immediately after the event makes it easier to revisit notes and find important details later.
6. Pay attention to the audience
Sometimes the audience’s reactions can be surprisingly revealing, adding useful colour to your final deliverable. These spontaneous moments can reveal hidden themes or what’s really resonating.
